Volunteer Opportunities

Sanford Pentagon Heritage Court

As a volunteer for the NSIC (Northern Sun Intercollegiate Conference) Basketball Tournament, you are playing an integral role in making this event successful. Volunteering for this event offers those who donate their time an opportunity to meet new people, connect with those who manage and develop events for the city of Sioux Falls, and provides experience in operations and logistics of event management and collegiate athletics.

The following descriptions provide our expectations and duties involved with the tournament. A registration link is provided at the bottom of this page which will take you to the registration form.

The registration form will include the general areas of need as well as the sessions available. If the listed duty is not available on the registration form, those positions have been filled. Please register for as many sessions and duties you can. Although we will try our best to place volunteers in a familiar position, due to the number of volunteers and other duties we must handle before event time, we cannot guarantee a position. A comments section is located at the bottom of the form to provide additional information on previous positions, limitations, etc.

Training will be provided and is MANDATORY in order to participate as a volunteer, even if you have worked prior tournaments elsewhere, training is still required!! You will be notified of the training schedule once it has been established. Once the training schedule is posted, if you are unable to attend any of the sessions, contact our Director of Operations, Brad Coleman at (605) 312-7905 in order for us to accommodate you.

Volunteer Responsibilities

  1. Remember that you represent the Sanford Pentagon, the NSIC (Northern Sun Intercollegiate Conference), Sioux Falls, and the state of South Dakota. You are what our visitors remember … YOU ARE THE KEY TO OUR SUCCESS!
  2. Be friendly and helpful at all times! (Even to belligerent people). Please go out of your way to assist people!
  3. If you do not know the answer to a question or inquiry, find someone who does.
  4. Please arrive 15 minutes prior to your scheduled session start time.
  5. Maintain your assigned post at all times, unless you are relieved by another volunteer. We will have floaters to give everyone breaks throughout each session.
  6. If you need to make schedule changes after registration, contact us ASAP, so we can do our best to accommodate your changes.
  7. We invite you to visit the volunteer hospitality suite (Location TBD) while you are on break ONLY during the sessions you are working…your volunteer apparel is your credential. Please do not congregate or spend a lot of time in this area.
  8. You are a neutral volunteer of the tournament. Cheering or any show of favoritism toward any team is prohibited and subject to dismissal. You cannot wear anything (buttons, pins, etc.) that shows support for any one team. These are tournament rules!
  9. You must be able to physically perform the duties that you register for including standing for long periods of time.
  10. Uniform while on duty:
    • Khaki (preferred) or black (alternate) slacks
    • Volunteer shirt or Apparel
    • No jeans or hats
    • Comfortable shoes (you will be on your feet for some time)

Volunteer Perks

All volunteers are provided a meal during their scheduled session. Anyone working less than four sessions must turn their volunteer apparel in at the end of each scheduled session.

All volunteers who work 4 or more shifts will be allowed to keep the volunteer apparel. It is your responsibility to keep the apparel presentable and clean. All volunteers who work 4 or more shifts will also receive one (1) set of all session tickets (reserved seating).

  • Session #1 – Saturday March 1           10:30pm – 4:30pm
  • Session #2 – Saturday March 1           4:30pm – 10:30pm
  • Session #3 – Sunday March 2             10:30am – 4:30pm
  • Session #4 – Sunday March 2             4:30pm – 10:30pm
  • Session #5 – Monday March 3            10:30am – 4:30pm
  • Session #6 – Monday March 3            4:30pm – 10:30pm
  • Session #7 – Tuesday March 4           1:30pm – 5:30pm (subject to TV)
  • Session #8 – Tuesday March 4           6:00pm – 10:30pm (subject to TV)

Volunteer Duties

 (Please read through all duties before registering)

Support Staff

Will Call

  • Checking people in that have will call tickets
  • Very patron identities and obtain signatures
  • Notify Pentagon personnel for any other problems or disturbances

Promotions

  • Set up, monitor, and clean sign up area prior to game start (when doors open until game start)
  • Assist supervisor in selection process
  • Assist with halftime promotions

Merchandise

  • Assist NSIC staff in merchandise sales
  • Requires money handling / exchange of goods
  • Become familiar with merchandise and be able to describe to consumers
  • Peak shopping times are pre-game, halftime, and post-game
  • May be moved to assist in other areas as needed during non-peak times

Team Benches (North and South)

  • Greet ATC, team manager, and team
  • Introduce yourself to ATC and team manager
  • Keep bench clean during pre-game, halftime, and post-game
  • Supply fresh towels and ensure water, ice, and cups are stocked and full (restock at halftime)
  • Stay in vicinity but out of the way of players and do not impede view of spectators
  • Clean-up during time-outs if necessary

Press Table / Scorer’s Table / Press Box

  • Assist appropriate staff with information transfer
  • Provide printed stats to appropriate staff during media time-outs
  • Sit in designated areas in the appropriate position
  • Provide media/stats staff with water as requested

Media Room / Interview Room

  • Keep stats organized and in correct trays
  • Perform copy duties as needed for officials and media personnel
  • Keep all media information organized
  • Keep copiers clean and ready
  • Keep area clean and presentable
  • Provide water for coaches, players, and moderator for each post-game interview session
  • Place game stats at every spot on table for appropriate game
  • Assist Sports Information Director with various tasks as assigned
  • Keep extra water ready if needed

Ball Boys / Girls

  • Pre-game – assist teams with getting balls for warm-up / keep balls on rack
  • Collect balls at halftime and place in tournament headquarters
  • Wipe up any sweat / spills on floor that may occur during the game
  • Answer to officials and provide officials water and towel at each time-out
  • Sit on chairs provided at base of hoop – NO GOOFING AROUND!!
  • Stay off floor during play unless otherwise instructed
  • BE ALERT – SAFETY IS THE #1 PRIORITY

Cheerleader Warm-Up

  • Admit only authorized cheerleaders, coaches, and related personnel
  • Keep all others out

Band / Cheerleader Coordinator

  • Be in constant communication with the scorer’s table coordinator
  • Notify band / cheerleader coordinator from each school with their next rotation
  • Follow game day scripts provided by tournament committee

Filmer

  • Sit with other video media personnel and film game(s)
  • When game is over – take DVD to appropriate personnel in tournament headquarters
  • Prior experience with filming equipment is a prerequisite for this position

Hospitality

VIP / Media / Volunteers

  • Only allow properly credentialed persons to enter area
  • Monitor food levels and replenish when necessary
  • Keep area clean and presentable. Food sponsors will assist and direct initial setup
  • Transport food from sponsor vehicles to area
  • Welcome guests to the area
  • Keep snack food and beverages stocked at all times
  • Scoop ice cream for visitors
  • Volunteer area – monitor to ensure volunteers are in and out in a timely fashion

Team Hosts (Position does not follow session schedule)

  • You will be the main contact for assigned team
  • You will need to be available either in person or via cell phone, while your team is in Sioux Falls
  • Meet and greet team upon arrival – date, time, and location will be provided
  • Answer questions, provide recommendations for food, beverage, entertainment to your team – binder with relative information will be provided
  • Assist team in transport from arena to proper practice facilities
  • Direct teams to Brad Coleman at 605-312-7905 to schedule extra practice sessions
  • Be cordial, friendly, and available – consider yourself their personal assistant

Practice Site Coordinator (Position does not follow session schedule)

  • Ensure all equipment is in place
  • Ensure area is clear of all people before session begins
  • Ensure privacy methods are in place and area is secure
  • Ensure doors are unlocked for team prior to scheduled session
  • You may need to operate the clock during practice session or train a member of team personnel to operate the time keeping equipment
  • Ensure that area is clean and presentable between practices
  • Monitor entrance to ensure no unauthorized access
